Executive Assistant is responsible for providing administrative support to the CEO & COO by performing all secretarial functions, including maintaining calendars, coordinating all meetings and attending when appropriate, handling travel arrangements, answering telephones, opening and dispensing mail as appropriate, typing correspondence, drafting routine correspondence, providing secretarial support to the Governing Board including agendas, meeting attendance and transcribing of meeting minutes, greeting visitors, ensuring proper handling of patient/visitor/staff issues as they arise
High school, plus one year program Secretarial School.
In lieu of education:
Minimum of five (5) years experience as an Administrative Assistant or Administrative Secretary; typing (65 wpm); computer skills in work processing, database and spreadsheet; knowledge of office equipment, i.e. facsimile machine and copying machine.
Required Work Related Experience: Minimum of two (2) years as an Administrative Assistant or Administrative Secretary; typing (65 wpm); computer skills in word processing, database and spreadsheet.
Miscellaneous: Other required skills for Excutive Assistant : Excellent verbal and written communication skills; advanced grammar, spelling and punctuation skills. Able to compose complex correspondence and reports. Ability to organize and prioritize; self-motivated and able to work independently. Proficient in the operation of a computer and other office equipment. Ability accurately transcribe concise meeting minutes. Ability to relate cooperatively and constructively with others and to remain calm under stress. Must maintain confidentiality of information at all times. Incumbent will perform other duties as assigned. Management retains the right to add or to change the duties of the position at any time with or without notice.
