Strategic Planning – Fosters strong relationships with key technology and business leaders to develop and build program and project roadmaps and ensure business objectives will be met and the value realized. Develops and implements long-term goals and objectives to achieve successful outcomes. Participates in the strategic planning, annual budget and operating plan to develop demand/capacity forecasts and keep the portfolio roadmap updated.
Initiating - Manages the project intake process partnering with the Sponsor to define the high-level scope, schedule, and resource need (by role). Determines the complexity of the project and the strategic alignment/priority. Determines which projects are interconnected and should be managed as a program. Develops and manages a portfolio prioritization process ensuring the right programs/projects are undertaken to meet the overall goals and objectives of the organization. Reports back to the governance board to verify properly documented and approved. Works with the management team to determine when projects can start and then requests the assignment of a skilled and knowledge PM to get the project started on time.
Financial Management - Assists with budget forecasting and management for department - identifying staffing needs, training requirements, potential travel and employee engagement activities. Provide guidance and recommendations for promotions or salary actions. Ensures team performs as good stewards of corporate assets.
Portfolio Budget – Works with AIT CIOs in ensuring the portfolio budget is defined and the portfolios, programs and projects operate within the approved budget. Monitors all budgeted portfolio expenditures. Ensures all financial actuals for the portfolio are up to date.
Portfolio Management – Leads the delivery of portfolio and program objectives. Leads a matrixed team of business solution/product owners, program managers, project managers/scrum masters and business analysts to deliver on prioritized initiatives. Delivers the value defined for the portfolio in a timely and cost-efficient manner as shown by defined KPIs/Metrics. Develops and maintains program change control process as needed to ensure project teams operate within the scope and change approval process. Tracks progress and reviews portfolio, program and project activities to make certain benefits and deadlines are met appropriately. Proactively assesses portfolio, program and project risk and issues and identifies solutions to meet productivity, quality, and organizational goals. Provides oversight on portfolio of programs, including: scope, schedule, cost, resources, risk, issues, dependencies, quality, procurement, and communications. Identifies innovative solutions to problems that lead to simplification and straight-line processing solutions.
Escalation Support – Assist Program and Project Managers helping to resolve any escalated issue including but not limited to, resourcing requests, contracting/vendor issues, lack of progress on action items/issues or risks, and/or tasks being delayed due to competing priorities or communication issues
Portfolio and Program Communications - Ensures all portfolio and program stakeholders, including C-Level Executives receive portfolio, program and project level reporting as required. Communicates with clients and other stakeholders to gain support for the program and to solicit input to improve the program. Liaises with Executives and other managers to ensure effective and efficient delivery of portfolio objectives. Conducts regular portfolio and program status meetings with all stakeholders, keeping the stakeholder’s needs and requirements continuously in view. Creates portfolio presentations and reports for executive leadership, program sponsors, and stakeholders. Presents program status and issues to leadership level personnel through formal presentations. Proactively communicates portfolio and program status, issues, and risks to management.
PMO Standards and Strategy - Participates with management in department strategy, standards and process development and overall training plans – works collaboratively with the PM Center of Excellence in defining/recommending, creating, gathering, and reporting on key performance indicators, leads efforts to continually improve department culture and actively managing improvement actions from Employee Engagement survey, manages and monitors customer satisfaction levels with Managers and works collaboratively to identify, define and continuously improve standards, tools and templates using Key Performance Indicator (KPI) reporting and lessons learned.
Portfolio, Program and Project Quality - Ensures adherence to quality standards and reviews program and project deliverables. Monitors and conducts program and project evaluations. Monitors the program activities on a regular basis and conducts an annual evaluation according to the PMO Framework. Reports evaluation findings to the PMO leadership team and recommends changes to enhance the portfolio/program, as appropriate. Assists in continuous improvement of the portfolio and program management standards. Proactively monitors program and project health, ensures standards and guidelines are being followed and offers course corrections as needed, reviews deliverables produced by their direct reports to ensure the quality of content, offers coaching and mentoring that improve the overall effectiveness of Program and Project Managers as they interact with project teams and sponsors, instills a strong sense of accountability and cohesion across the project management team.

The Senior IT Portfolio Manager is responsible for applying professional principles, practices, and techniques and to be a strategic leader within AdventHealth Information Technology (AIT) organization. They will work directly with their business partners to identify and prioritize a portfolio of projects based on the strategic plan of the organization and the business unit they support. They are ultimately responsible for all programs and projects assigned to the portfolio; developing a multi-year roadmap, managing stakeholder identification and satisfaction, program and project definition, cross project interdependencies management, cross program and project related risk management, and ongoing monitoring and control. They partner with their stakeholders to drive delivery of a large portfolio of programs and projects (sub-portfolios, 2+ programs, and up to 40 projects) to meet the strategic goals and objectives of AdventHealth.
