The Manager, Fleet is responsible for managing and coordinating all activities of fleet operations. The manager ensures a safe, efficient, well-maintained, effective fleet utilizing the most appropriate vehicles for the service delivered within established budgets. Responsible for quality and financial performance.
ESSENTIAL FUNCTIONS OF THE ROLE
Gathers data and develops specifications for required vehicles from the user departments. Determines which class and brand of vehicle best meet the needs. Makes recommendations for effective fleet utilization including, but not limited to, lease versus buy, class or brand of vehicles, optimal exchange mileage, etc. Researches data related to most efficient vehicles by class and brand to determine which should be included in fleet program. Works with automobile leasing companies and dealerships to procure vehicles. Establishes relationships in the various regions with automobile repair companies to provide cost effective service for vehicles. Meets financial responsibility through negotiating pricing structure for automotive work performed by outside vendors and parts purchased. Tracks and coordinates all repairs and scheduled maintenance. Ensures that accurate information is available by vehicle or class of vehicle for true cost of operation. Provides cost analysis and records related to work performed by the department. Continuously seeks ways to improve service, quality, increase utilization and decrease costs. Establishes and maintains departmental budgetary and financial accountability processes Conducts vehicle-related transactions on behalf of the system, to include title maintenance/actions, transfers, donations, vehicle registration, disposal, and other required documentation as required. Acts as an authorized agent of BSWH and all affiliated organizations. Coordinates with other departments, including, but not limited to Tax, Treasury, Risk, Legal, HR, Safety, Accounting, Finance, Facilities, Purchasing, Sourcing, and Capital Management in order to resolve issues as needed. Provides input, as required, to policies and procedures for driver training for safe operations of the vehicles. Plans and schedules monthly department meetings and in-services to cover safety, body mechanics, communication tools, customer service, equipment usage, and other departmental topics. Responsible for recruiting, interviewing, hiring, counseling, disciplining and terminating of the fleet services staff. Complies with Human Resources policies and procedures that include on-going staff training, timely performance appraisals, developing and mentoring staff, and maintaining confidentiality. Conducts performance reviews and identifies opportunities for growth and professional development for staff and self.

Previous financial, contractual, and budgetary accountability and responsibility. Proficiency in the use of Microsoft Office Suite software. Ability to learn and use other support services software systems. Ability to interact and communicate with all customers and team members in a positive and professional manner, with the ability to give clear, concise and complete direction. Excellent problem solving and decision making abilities. Good planning and organizing skills. Good conflict management skills.
