JOB SUMMARY: In your pivotal role as Administrative Officer, you will assist the Departmental Administrator to achieve departmental goals by coordinating fiscal and human resource activities, equipment purchases, and by providing facilities management.
The Office of Health Science Education governs a broad range of educational activities at Vanderbilt University School of Medicine and Vanderbilt University Medical Center, including undergraduate medical education (the MD program), graduate medical education, and physician continuing professional development, as well as advanced degree and certificate programs in health and medically-related fields. Serve as a member of the departmental administrator executive leader team.
Attend meetings and interact with other departments as requested by the departmental administrator.
Work to resolve problems directly, or in consultation with the departmental administrator, concerning staffing, utilization of facilities, equipment, and funds.
Provide personnel and payroll administration.
Ensure internal salary equity within departments.
Maintain confidential personnel records for professional and non-professional staff.
Make staffing recommendations, interview and screen applicants for hiring.
Conduct Onboarding/Offboarding of employees.
Assign work priorities, conduct performance reviews, disciplinary actions, and terminations when necessary.
Manage the finance and administrative team.
Work with departmental administrator to create and implement plans to achieve departmental and staff goals; provide goal metrics tracking and reporting as needed.
Manage and coordinate compliance tracking and reporting.
Manage and coordinate administrative and support functions within the department.
Develop and interpret policies and procedures for staff as needed.
Ensure effective operations by working with departments independently, or in consultation with departmental administrator, to develop program evaluation, ensure continual program improvement, evaluate for improvement opportunities, and ensure service standards are met or exceeded.
Work with departmental administrator to provide training for staff development.
Assist departmental administrator with developing the annual departmental budget.
Authorizes, approves and signs purchase and equipment requisitions, travel and entertainment expenses, etc.
