Overview
Atlantic Health is seeking an Executive Asssisant to provide high level administrative support by conducting research, preparing reports, handling information requests and performing clerical functions such as correspondence, receiving visitors, arranging conference calls and scheduling meetings. The ideal candidate is highly self-motivated, professional, upholds a strict level of confidentiality, meets deadlines, communicates effectively, is capable of managing their own workload and prioritizing tasks in a fast-paced environment.
Responsibilities
* Maintains executives' appointment schedules by planning and scheduling meetings, conferences, teleconferences and travel.
* Acts as the point of contact between executives and employees/clients.
* Welcomes guests and customers by greeting them personally or on the phone; answering or directing inquiries.
* Responds promptly to executives queries.
* Maintains customer confidence and protects operations by keeping information confidential.
* Conserves executives time by reading, researching and routing correspondence.
* Prepares reports by collecting and analyzing information.
* Assists executives by maintaining an organized filing system of paper and electronic documents.
* Records, types and distributes meeting minutes.
* Assists with projects such as presentations as necessary.
* Suggest more efficient ways to run the office and troubleshoot malfunctions.
Qualifications
Proven work experience as an Executive Administrative Assistant.
Advanced Microsoft Office skills, including Excel and Powerpoint.
Advanced Outlook skills.
Writing and reporting skills.
Excellent organizational skills with an ability to think proactively and prioritize work.
Knowledge of office procedures and management.
Experience exercising discretion and confidentiality with sensitive company information.
Exceptional interpersonal skills and a friendly and professional demeanor.
