St. Luke's Wood River Foundation in Ketchum, ID is seeking an Administrative Specialist 2 to join our Foundation team.

Unit/Position Summary

A great opportunity for the individual who enjoys the satisfaction of a job well done when providing much needed assistance on a daily basis. You will coordinate meetings, Board agendas, keep minutes, provide Donor receipts and acknowledgments, prepare thank you notes, A/P, filing and phone support.

Schedule

• Monday-Friday: 40 hrs/week, day time hours required

Responsibilities

• Provides support to the Foundation Board of Directors, including meeting coordination, keeping minutes, and preparing agendas. Assemble and distribute Board meeting packets before quarterly meetings.
• Provides support to donor acknowledgment process.
• Performs a variety of advanced administrative and support services.
• Answers inquiries and obtains information for board members, donors, and staff in an expedient, professional and courteous manner. A
• Anticipates the needs of the Executive Director and Foundation
• Performs word processing functions and other data entry in a variety of computer programs (e.g., meeting minutes, correspondence, spreadsheets, forms, reports, flyers, and other materials).
• Maintains calendars, schedules appointments and meetings, makes travel arrangements, sorts and routes incoming mail, orders office supplies, and copies / faxes documents as required.
• Maintain central filing system. Administer and monitor filing of all correspondence with donors and prospective donors.
• Prepares and maintains departmental information, including timesheets, expense reports, invoice payments, web information, and check requests.
• Performs other duties and responsibilities as assigned.

Qualifications

• Education: High school diploma or equivalent.
• Experience: 2 years relevant experience.
