Headquartered at Fred Hutch, the HIV Vaccine Trials Network (HVTN) is the world's largest publicly funded multi-disciplinary international collaboration facilitating the development of vaccines and antibodies to prevent HIV/AIDS. The HVTN's mission is to fully characterize the safety, immunogenicity, and efficacy of HIV vaccine candidates with the goal of developing a safe, effective vaccine as rapidly as possible for prevention of HIV globally. To date, the Network has conducted the majority of the published, presented, or ongoing clinical trials of preventive HIV vaccines worldwide. In the process, we have gained tremendous experience in implementing an innovative global scientific organization, which combines the intellectual robustness and creativity of academia with the focus and infrastructure of industry. The HVTN has also expanded the scope of preventative infectious disease work to include the intersecting pandemic of TB by working with collaborators to evaluate novel TB vaccine approaches.The HVTN Leadership Operations Center (LOC) in the division of Vaccine and Infectious Diseases is seeking a Sr. Scientific Writer and Publications Project Manager to provide manuscript writing support for the publication of HVTN studies, and to provide project oversight for the publications process at the LOC. Project oversight also includes tracking and initiating forums to present data in data forums for HVTN Members to see as well as to participate in fulfilling key milestones in publications of HVTN articles.
Responsibilities
- Facilitate writing team communication and collaboration throughout publication development: create and maintain online writing team workspaces on the Atlas data portal, manage team email aliases, schedule and chair data review and manuscript development meetings, prepare and distribute meeting minutes, coordinate follow-up activities and update project schedules as needed.
- Work with writing teams to establish target journals, as well as timelines and milestones for draft development, review and submission. Track team decisions and communicate data/analysis priorities to SCHARP and the Laboratory Program
- Draft/edit scientific manuscripts based on existing data analysis reports or outlines including writing of materials and methods sections and preparing tables and graphs in coordination with the other scientific staff conducting the studies.
- Prepare the manuscripts according to the style guides of the submitting journal.
- Submit and follow the manuscript from drafting through to publication.
- Coordinate and edit revisions to book chapters, manuscripts, articles, scientific reports, grant progress reports, grant applications, presentations, and teaching materials of a highly technical nature.
- Coordinate documentation preparation with publication deadlines, grant deadlines, collaboration efforts and other projects.
- Recommend edits on written materials to improve readability, coherence, accuracy, grammar, and conformity to internal and publishing standards of style.
- Copyedit and proofread scientific manuscripts and coordinate journal submission.
- Maintain database of HVTN and CoVPN publications and track the status of cross-center publications in development.
- Assist in coordinating HVTN data forums which present HVTN study data across the network.
- Coordinate the review and approval of all publications in accordance with the Publication Policy and applicable clinical trials agreements.
- Update the publications process, as needed, by collaborating with stakeholders across LOC, SDMC, and the Laboratory Program to optimize the manuscript development
- Attend VIDD and FHCC scientific seminars, HVTN Conference and/or relevant conferences as invited or requested by manager
- Provide other technical support as may be requested.
Qualifications
Required:
- Master's degree
- 3-5 years formal scientific writing experience preferred or an advanced degree in a biomedical-related field with a demonstrable ability to write about science for a variety of audiences.
- Excellent grammar and writing mechanics skills; clear and concise writing style suitable for scientific publishing; and demonstrated ability to translate complex scientific information and concepts into graphs, figures, and presentations.
- Strong communication and interpersonal skills.
- Ability to work under the pressure of deadlines and maintain an extremely high level of attention to detail.
- Excellent organizational skills and ability to work effectively on concurrent projects.
- Ability to handle confidential and sensitive information.
- Ensure compliance with Fred Hutch writing style guidelines.
- Self-motivation and flexibility required.
- Demonstrated ability to work successfully as part of a diverse team with a commitment to equity and inclusion.
Preferred:
- Project management experience
- Proficiency with Adobe InDesign
- Familiarity with and experience producing for digital channels and social media, including traditional (Facebook, Twitter, Tumblr, Pinterest) and emerging players preferred.
- Knowledge of Adobe CQ, HTML, CSS, JavaScript preferred.

The annual base salary range for this position is from $74,358 to $111,536, and pay offered will be based on experience and qualifications.
